What is FTP?
FTP (File Transfer Protocol) is a secure & efficient method of transferring data between PC’s utilising the Internet. The main difference between FTP & email is that likelihood of virus transfer is virtually zero & data is not given to a third party ISP to travel around the world before being available for downloading by recipient.

What are system minimum hardware requirements?

Hardware

  • Pentium III, 300Mb Free HDD, 500Mhz processor 
  • Manifesting PC will require Internet FTP connectivity for two way data transfer, ideally port 20 & 21, use of proxy server acceptable
  • Access to laser printer for A4 laser for manifest reports, Quest can provide competitive quotation
  • Thermal printer will normally be provided as part of the installation
  • Operating systems minimums
    • Windows 2000 – Service Pack 2
Internet Explorer – Version 5.5 or above

On what network platforms does system operate?

System Microsoft based, suited 2000 server platform, workstations can be Windows 2000 or higher. Citrix & Terminal Services versions are also available again with minimum of Windows 2000 on workstations.

In what format should I provide database for installation?
ASCII, Excel or Access all acceptable formats.

How long does system take to install?
Allow 1-2 hours for main server & approximately 20-30 minutes per workstation. Obviously time to install will be dependant upon speed of PC’s but the above is a reasonable indication. Training is also provided at the time of installation. Please be aware that the appropriate staff will need to be available at the end of the installation to allow training to proceed.

Can I interface with my current in-house order system?

Yes, IFS SmartFreight Enterprise can automatically import a variety of file formats and produce connotes without any manual input. Many standard interfaces have already been written by Quest which cover most of the popular ERP / Stock Control systems but we can also customise the import to suit your requirememnts. Quest can provide assistance in this area please contact us for further information.

How is system supported?
Quest have a helpdesk, manned between 9am – 5pm Monday – Friday. Most calls can be cleared via a telephone call email or remote access but an engineer will be available to attend site should this be required. See Support area of the web page for support contact details.

Smartfreight Operational
What do I do when window appears telling me I have pending connotes?
This only occurs when importing data from your in-house system. It simply means that at least one field in the file was incorrect or missing. Click on window to access list of pending connotes. Double click on a connote to open & correct. All fields highlighted in red are incorrect & need to be fixed. Click on red highlighted data in field & select correct alternative from drop menu or edit as instructed on screen.

System after downloading data to IFS Bureau tells me there are Updates to be downloaded, what should I do?
You should always select Yes & downloaded updates, these may be crucial to the successful operation of your system. If you choose not to download updates at this time you will be prompted again after next connection to Bureau

What do I do when window appears telling me I have mail?
This is a message sent to you from IFS, simply click on window to open & read message. To access & re read old messages, simply click on Message tab underneath logo on opening screen & follow on screen instructions

System tells me I have run out of stationery, what do I do?
Simply click on Stationery tab underneath logo on opening screen & select Add Box icon. Select type of stationery you are adding in first window & in second type box number without dashes (-), which you will find on label attached to outside of box.

System tells me I cannot use a particular module / function?
This simply means that the particular module or function has not been purchased by your company & as such cannot be accessed. To order any module & have activated at your site, please visit our Module page on this site to order online or talk to one of our sales personnel for further information.

How do I setup new receiver?

Select

  • Maintenance Lvl 1
  • Receivers
  • Insert
  • Follow on-screen instructions
Should you type in an unrecognised receiver account number for first time in connote entry screen you will be prompted as to whether you wish to add new customer to database, confirming will take you automatically to receiver entry screen.

I have got a Low Stationery Warning on my screen?
This mean that the stock left to use from the current box of stationery has fallen below the reorder level. You should access how much stock you have & place order for more if necessary. To do this click the Stationery button from the main screen. Select Order and complete the details.

How do I order stationery?
Simply click on Stationery tab underneath logo on opening screen & select Order icon. Complete information requested & select Confirm Order. Order will be sent with freight manifests to Quest & be actioned following day. After using this screen once your company details will be remembered but you will have to enter unique purchase order number each time

How should I backup system?
The database (Smartfreight.sfd) & security file (Smartfreight.sfw) linked to the database will be installed in a directory called SmartFreight under Program Files on stand alone PC or under a directory specified by your IT department if on a server. These two files should be copied & backed up regularly for security purposes. Discuss with your IT Manager options available

Smartfreight Troubleshooting
System on boot up cannot find database?
Reboot workstation to re-establish connection to your main server. If this does not succeed contact your own internal IT Manger to test network connections & access to drives have not been changed.

SmartFreight is manifesting at 11:00AM

SmartFreight® Manifesting at 11:00am

 

SmartFreight® is set by default to manifest at 11:00pm as it must manifest daily. However some PC’s do not recognise this format by default and so manifest incorrectly at 11:00am instead.

 

To correct this select Start then Control Panel.

Click on Regional and Language Options

Select Customise as shown below

 

 

 


Then select the Time folder at the top.

 

 

 


Ensure that the Time Format is as shown with a space and  lowercase t’s at the end and the AM and PM symbol’s selected as shown.

 

 

 

Click Apply and OK to exit.

 

 

Now in IFS SmartFreight® Enterprise select Maintenance then Level 2 and Workstation Setup

 

 

 

 

Ensure that the End of day Manifest Time is set to 23:00 as shown

While downloading data an error message 12002 appeared, what does it mean?
Quite simply it means you do not currently have an Internet connection available. Contact your internal IT Manager immediately to resolve problem. Rebooting PC may re establish connection with your server & hence Internet connection

Cannot print manifest?
Check all cables are securely in place. Switch off printer for at least 30 seconds to allow memory to reset. If you are printing across network check with your internal IT Manager you are able to see printer on network

System tells me I have not downloaded for X days, what do I do?
If you can download & simply have forgotten to do so, do so immediately. If you are unable to due to for whatever reason, contact your internal IT Manager immediately to test & resolve your FTP Internet connection. Failure to do say may result in your freight being unable to be delivered and system will cease to operate after 14 days without downloading
